When the power goes out, the hotline goes first.

An outage generates more calls in twenty minutes than the line takes on a normal day. HeroChat collects meter readings, answers tariff and payment questions automatically and informs customers about outages proactively – before anyone reaches for the phone. GDPR-compliant, hosted in Germany.

Client data never leaves the EU. AI processing runs in the Azure data centre in Frankfurt.

Made in Germany

A real contact in Berlin

Personal onboarding and a phone number to call, instead of a ticket queue.

Where it starts

Everyone calls at the same moment.

Routine questions fill the line on normal days; outages jam it on bad ones. Both could be answered beforehand.

Call peaks nobody can plan for

One fault on the network and the line is jammed twenty minutes later. Getting through still means waiting.

Meter readings on paper

Print cards, post them, chase them, type them in. A process your customers could finish on their phone in thirty seconds.

Switchers who said nothing first

The cancellation is the first feedback. Until then there was no reason to talk – and no channel to do it on.

Use cases

What HeroChat takes on.

None of this replaces your team. All of it removes the groundwork before it – structured, documented and at any hour.

Collect meter readings

A photo of the meter over WhatsApp, the meter number matched automatically – no card, no chasing.

Report outages proactively

A message to the affected street before the first hundred calls arrive – with a realistic estimate.

Explain payments and tariffs

Why the instalment changed, what the new tariff means, when billing happens – answered rather than explained.

Deliver bills and documents

Annual statement, payment plan, certificates – on the channel the customer already uses.

Handle house moves

Move-out and move-in dates, meter readings, new address – collected in order instead of dictated on the phone.

Hand over to customer service

Hardship cases, payment arrangements, complaints: a person takes over, with the full history.

You draw the line: which topics the AI closes on its own and which it only prepares is something we set together during onboarding.

What it is worth

Let us actually do the maths.

Rather than advertise a percentage, we show the assumptions. Swap in your own numbers – the structure stays the same.

Worked example: a municipal utility with around 50,000 customers

  • per monthper year
  • client contacts (all channels)approx. 6,000approx. 72,000
  • of those, routine matters needing no advice70 % → 4,20050,400
  • of those, fully handled by the AI65 % → 2,73032,760
  • average handling time per matter5 minutes5 minutes
  • working time savedapprox. 228 hrsapprox. 2,736 hrs
  • fully loaded staff cost assumed48 €48/hour48 €48/hour
  • less HeroChat Pro− €129− €1,548
  • calculated effectapprox. €10,820approx. €129,800
Saved working time is only the first lever. What is left lying beside it can be quantified too – across a year that comes to three lines:

Manual meter reading

€17,680/reading cycle

Print, frank, post, chase, key in. Every card costs postage and handling – for a number the customer can read themselves.

Worked example: 26,000 reading cards per cycle × €0.68 postage and handling = €17,680 per reading cycle

Switchers nobody spoke to

€216,000/year

A switch is decided weeks before the cancellation. Not showing up in that window means finding out from the grid operator record.

Worked example: 50,000 customers × 6 % assumed switching rate = 3,000 × 20 % preventable with timely contact = 600 × €360 contribution margin = €216,000

Call peaks during outages

€34,560/year

Twelve outage events a year, each with a thousand calls asking the same question: when will it be back?

Worked example: 12 outage events/year × 1,200 extra calls × 3 min × €48/hour = 720 hrs × €48 = €34,560
€268,000/year

Calculated annual loss for a municipal utility with 50,000 customers – from manual meter reading, switchers nobody spoke to and call peaks a single message beforehand would have avoided.

A simplified worked example for illustration, not a promise of results. Every percentage and amount is a deliberately disclosed assumption, not a measured or externally sourced value. Actual figures depend on your size, your enquiry volume and your staff costs. We are happy to run the model with your own numbers on a first call.

FAQ

Common questions.

Is this compliant for critical infrastructure?
HeroChat stores data in Germany and processes AI requests in the Azure data centre in Frankfurt; you get the Art. 28 GDPR data processing agreement ready to sign, with the technical and organisational measures. Whether HeroChat falls inside your critical-infrastructure scope depends on your architecture – that is a conversation for your information security officer, not a salesperson.
Can the AI really handle meter readings?
It captures the photo and meter number in a structured way and passes the record to your system. Plausibility checking stays where it belongs: in your billing.
Can our billing system be connected?
Through the REST API and via Zapier, Make and n8n, cases can be handed to ERP and CRM systems. With long-grown billing landscapes we check this honestly upfront, before you commit.
Can we message customers during an outage without asking?
An outage notice relating to an existing contract is not marketing. Pointing out a green tariff is – and that needs documented consent for the channel.
What does it cost for a utility?
For utilities needing their own integrations, an SLA and a dedicated contact, the Custom tier is the right entry point. Basic and Pro are €89 and €149 per month. See all pricing
