Your regulars are out there. You just cannot reach them.

A shop lives on people coming back – but between two visits there is no channel. HeroChat answers availability and opening-hours questions automatically, gets in touch with regulars when there is a reason to, and collects Google reviews. GDPR-compliant, hosted in Germany.

A real contact in Berlin

Personal onboarding and a phone number to call, instead of a ticket queue.

Where it starts

Between two visits there is no channel.

Availability questions wait on the phone, buying intent sits in the Instagram inbox – and your regular hears nothing from you until chance intervenes.

"Do you still have that in a 42?"

The most common question in retail – asked on the phone while three people wait at the till.

Instagram DMs nobody reads

The account belongs to marketing, the messages reach nobody. Buying intent evaporates in an inbox.

Silence between visits

With no channel to your regulars, passing trade alone decides how the month goes.

Use cases

What HeroChat takes on.

None of this replaces your team. All of it removes the groundwork before it – structured, documented and at any hour.

Answer availability

Size, colour, model, hold it until this evening – answered without anyone picking up the phone.

Bring Instagram DMs together

Every message lands in the same inbox as WhatsApp and email – and actually gets answered.

Reach regulars with a reason

New stock, remaining sizes, event days – to the people who opted in, not to a mailing list.

Collect Google reviews

A short message after the purchase, at the right moment – instead of a QR code nobody scans.

Take reservations

Hold an item, pick-up time, deposit – captured properly instead of on a scrap of paper.

Hand over to staff

Advice, complaints, special orders: a person takes over, with the full history.

You draw the line: which topics the AI closes on its own and which it only prepares is something we set together during onboarding.

What it is worth

Let us actually do the maths.

Rather than advertise a percentage, we show the assumptions. Swap in your own numbers – the structure stays the same.

Worked example: a store with around 6,000 regulars

  • per monthper year
  • client contacts (all channels)approx. 600approx. 7,200
  • of those, routine matters needing no advice70 % → 4205,040
  • of those, fully handled by the AI65 % → 2733,276
  • average handling time per matter4 minutes4 minutes
  • working time savedapprox. 18 hrsapprox. 216 hrs
  • fully loaded staff cost assumed28 €28/hour28 €28/hour
  • less HeroChat Pro− €129− €1,548
  • calculated effectapprox. €380approx. €4,500
Saved working time is only the first lever. What is left lying beside it can be quantified too – across a year that comes to three lines:

Regulars who do not come back

€93,600/year

Nobody cancels in retail. They simply stop coming – and nobody notices, because there is no channel.

Worked example: 6,000 regulars × 15 % annual churn = 900 × 20 % retainable through contact = 180 × €520 annual spend = €93,600

Instagram DMs left unanswered

€18,720/year

Someone asking about a product wants to buy it. A message sitting for three days is a customer who bought elsewhere.

Worked example: 150 DMs/month × 40 % unanswered = 60 × 12 = 720/year × 10 % with real buying intent = 72 × €260 = €18,720

Promotion reach left unused

€62,400/year

An event day your regulars never heard about is an ordinary Tuesday with a thinner margin.

Worked example: 12 promotions/year × 2,000 regulars reached × 2 % conversion = 480 purchases × €130 average basket = €62,400
€175,000/year

Calculated annual loss for a store with 6,000 regulars – from customers who quietly drift away, messages nobody answers and promotions almost nobody hears about.

A simplified worked example for illustration, not a promise of results. Every percentage and amount is a deliberately disclosed assumption, not a measured or externally sourced value. Actual figures depend on your size, your enquiry volume and your staff costs. We are happy to run the model with your own numbers on a first call.

FAQ

Common questions.

Is WhatsApp GDPR-compliant in retail?
Through the official WhatsApp Business API, yes – unlike a staff member’s private phone, where the address book syncs and the customer contacts leave with them. HeroChat stores data in Germany and provides the Art. 28 GDPR data processing agreement.
Can we send offers to our regulars?
Only with documented consent for that channel. HeroChat collects it, logs it and honours withdrawal. A message about an existing reservation is not marketing contact.
Does this really produce more Google reviews?
A message on a channel someone already opens gets read more often than an email and far more often than a poster. How many reviews result depends on your timing and your customers – you will only have honest numbers after a few months.
Do we need an inventory system for this?
No. Many stores start with opening hours, range information and FAQs. If you have an inventory system with an interface, availability can be connected via the REST API or Zapier.
What does it cost for a store?
Basic is €89 per month and Pro €149, or €79 and €129 paid annually. One regular won back per week covers the subscription. See all pricing
